COVID-19 Appointment Protocol
While Synergy Health Centre is now authorized by the BC Health Authority (BCHA) and the Colleges of our Health Professionals to provide in-person care, adjustments have been made to our appointment protocol to ensure the safety of our clients, staff, and community. Please review the following steps to be taken before, during, and after each in-person appointment at Synergy Health Centre in Victoria, BC. We appreciate your willingness to follow these standards and promote health and safety for all.
Masks: All clients who enter our space are required to wear a mask.
Arrival at the Clinic: When you arrive at the clinic, please wait in your vehicle until the time of your appointment. Our front desk staff will call you when they are ready for you to come in for your appointment. Please provide our administrative team with your cell phone number at the time of booking.
Personal Items: Please leave all personal items (including jackets, water bottles, etc.) in your vehicle. If you will be arriving by bicycle, we ask that you lock your helmet to your bike and leave any other personal items at home.
Others in Your Appointment: No one will be allowed to accompany you to your appointment unless you are under the age of 16 and require a parent/guardian or you typically have an assistant with you for safety or mobility concerns. If someone will be accompanying you to your appointment, please let our administrative team know in advance so that we can ensure additional forms are completed by these individuals.
Hand Sanitizing: Once you enter the clinic, you must stop at the hand sanitizing station and sanitize your hands. Our receptionist must observe you complete this task, so please ensure she is available and watching before continuing.
Waiting Room: After entering the clinic and sanitizing your hands, please stand on one of the X’s marked on the floor as you wait for your practitioner to come and get you. Please avoid touching any surfaces while you are waiting for your therapist. When they are available, your therapist will bring you to their room, following the traffic flow arrows marked on the floor. Your practitioner will be wearing a mask and in some circumstances gloves.
Washrooms: To ensure your safety and protection, we are controlling the use of the washrooms to ensure sanitization occurs between each usage. Please always notify one of our team members after using the washroom. In some cases, you may be required to get a key from us.
Appointment: The appointment itself will take place fully in the practitioner’s office. Under specific circumstances, clients may use our gym space. This may mean that certain equipment will be brought into the office for your use during the appointment. All equipment is thoroughly sanitized after each client’s use.
After Your Appointment: Once the appointment is complete, you will exit the room and follow the directional arrows toward the exit. You will stand on the red ‘X’ in front of the receptionist, who will be behind a plexi-glass partition. Here you will be required to verbally read from your prescribed Plan of Care for the booking of future appointments. You will book out all prescribed appointments following this initial appointment to avoid needing to do so after each subsequent appointment.
Payment: All billing and payments will occur with as little direct contact with the receptionist as possible and will be paperless. Payment methods will be secured in advance of your appointment and then charged following each appointment. You will receive an electronic receipt via email.
Exit: You will then proceed to the exit and sanitize your hands once more on the way out.
